A yes is a status, not a new spreadsheet

Going from prospect to customer is the step every list is built for, and it is often the moment data gets lost. The company moves to an invoice, a project folder or a CRM, and the lead list keeps treating it as a prospect, until someone sends the new customer a cold email.

Make the step explicit. In Riftjaw every record has one of four fixed statuses, New, Contacted, Replied and Customer, so segments and campaigns can rely on them. Setting a company to Customer keeps its source, notes and every email it got, and your prospecting segments can leave it out from then on.

Riftjaw is not a full CRM for running customers and has no native connection with one. When a company becomes a customer, the work with it often moves to your own CRM, project tool or bookkeeping. The route is a file: export the customers as CSV and import them there.

What changes when a lead becomes a customer

The status

Set it to Customer when there is a real yes: an order, a signed offer, a first job. Agree on that moment as a team.

The segments

Your prospecting segments filter out Customer, so a new customer never gets the next cold email. See segments.

The history

Source, notes and every email that went to the company stay on the record. Next year you can still see how it started.

Where the work goes

Running customer work moves to the tool you use for that. Export the customers as CSV and import them there.

Move a lead from prospect to customer in three steps

1

Set the status

Change the company to Customer the day the yes comes in, and write one line in the notes about what they bought.

2

Check your segments

Make sure the saved segments you send campaigns to leave out Customer. One filter, set once.

3

Hand over the record

Export your customers as CSV for your CRM or bookkeeping. See export.

Frequently asked questions

When should a prospect become a customer on my lead list?

When there is a real yes, such as an order, a signed offer or a first paid job. A positive reply is Replied; Customer is for the moment they buy. Agree on it as a team so the count means the same for everyone.

Do customers keep getting my cold email campaigns?

Not if your campaign segments filter out the status Customer. Set that filter once in the saved segments you send to.

Can I manage my customers in Riftjaw?

You can keep them on the list with their history, but Riftjaw is not a full CRM for running customers. For ongoing customer work, export them as CSV to your own CRM or bookkeeping.

How do I see which segment brought my customers?

Filter each segment on the status Customer and compare. More in measure results per segment.

Is there a status between Replied and Customer?

No, the four statuses are fixed. For steps in between, such as a meeting planned or an offer sent, add a tag of your own.

What is Riftjaw?

Riftjaw is a B2B lead database you own: import the companies you collect, keep every record with its source, sort them into segments and reach them by email in small batches. Each account runs on its own private server with its own database.
