Email campaign settings for a small team what to check before you send
Most campaign problems come from settings nobody checked: the segment, the sender, a blank placeholder, the batch size. Five checks, in order.

The settings that decide how a campaign lands
Email campaign settings sound technical, but on a small team they come down to a handful of choices: who gets it, who it comes from, what it says when a field is empty, how fast it goes out and what happens to people who said no.
Get those right and the text can do its job. Get one wrong and a good message goes to the wrong segment, opens with "Hi ," or goes out to everyone at once before you notice the mistake. Gentle by design: the defaults are there to keep that from happening.
Mailbox providers also look at how you send. Google's sender guidelines for Gmail ask for things like an easy way to unsubscribe and low spam complaints. You decide who you mail and what you say; Riftjaw sends in batches of 10, fills placeholders with a fallback and skips anyone who opted out.
Five email campaign settings to check
The segment
Any saved segment can be the audience, and you see the count before you start. If the number surprises you, check the filter first.
Sender name, reply-to and footer
Set once in your settings. Use a name people recognise and a reply-to address someone actually reads.
Placeholders with a fallback
Write {first_name|there} or {company|your team}: the part after the bar is used when a field is empty, so a blank never shows in the mail.
Batch size and pause
Mails go out in batches of 10. Pause when something looks off, resume when you are ready.
Before you press send
Send yourself a test
See exactly what a real record will get, with the placeholders filled in. Read it on your phone too.
Check who is left out
Companies on Replied or Customer usually do not need this email, and anyone who unsubscribed is skipped automatically.
Start with one batch
Send the first batch of 10, read the replies and then decide whether to continue. More in test a campaign with one batch.
Frequently asked questions
Which email campaign settings matter most?
For a small team: the segment you send to, the sender name and reply-to, a fallback for every placeholder, the batch size and the handling of unsubscribes. The subject line matters too, but these come first.
What happens if a placeholder field is empty?
Every placeholder can carry a fallback. If a record has no first name, {first_name|there} becomes "there" instead of an empty space.
Can I pause a campaign after I start it?
Yes. Campaigns go out in batches of 10, and you can pause and resume later, for example after you read the first replies.
Can I send from my own mail server?
Depending on your plan, sending can run through your own SMTP provider. Sender name, reply-to and footer are set in your settings. See pricing for what each plan includes.
Do I need credits?
No. There are no credits and no cost per record: a flat price per plan, and the size of your list does not change the price.
What is Riftjaw?
Riftjaw is a B2B lead database you own: import the companies you collect, keep every record with its source, sort them into segments and reach them by email in small batches. Each account runs on its own private server with its own database.
