A template is a starting point, not the email

Most cold email templates fail for the same reason: they are written for everyone. A good template is a structure you fill in per segment: one line about the company, one reason to write, one question they can answer in a sentence.

The three openings below are examples, not tested formulas, and we have no reply rates to promise. They work best on a small segment of companies that share the same reason to hear from you, sent in batches of 10 so you can change the wording after the first replies. Gentle by design.

Placeholders keep a template personal without writing every email by hand. In Riftjaw every placeholder can carry a fallback: {first_name|there} becomes "there" when a record has no first name, so a blank never shows in the mail. Google's sender guidelines for Gmail also ask for an easy way to unsubscribe, so keep that line in every template.

Three cold email templates and when to use each

These are examples. Replace the placeholders and the topic with your own, and read the result out loud before you send it.

OpeningExample first linesUse it when
1. The observationHi {first_name|there}, I saw that {company|your team} opened a second location in {city|your area}. Who looks after the equipment there? You noticed something specific about the company
2. The shared contextHi {first_name|there}, we were both at the {event|trade fair} last month. I did not make it to your stand, so a short question instead. You share a fair, association or region
3. The plain questionHi {first_name|there}, quick question for {company|your team}: who handles {topic|this} for you today? You have no hook yet but a clear segment

What every template needs

One reason to write

If you cannot say in one line why this company hears from you now, the template will not fix it. Go back to the segment.

One question

Ask something they can answer in a sentence. Three questions or three offers in one email mostly get no answer.

A fallback for every placeholder

A record without a first name or city should still read well. Set the text after the bar for every field you use.

Your own name and an easy way out

Sign with a real name, set a reply-to someone reads and keep the unsubscribe line. Anyone who opts out is skipped in every later campaign.

Using a template on a new segment

  • Pick the opening that fits the reason to write.
  • Fill it in for three real records and read them.
  • Set a fallback for every placeholder.
  • Send yourself a test mail.
  • Send one batch of 10 and adjust after the replies.

Frequently asked questions

What is a good cold email template?

One that is short, names one reason to write and ends with one question the reader can answer quickly. The structure matters more than clever wording, and it should change per segment.

Can I use the same cold email template for every company?

Use the same structure, not the same email. Write the reason to write per segment and let placeholders fill in the company details, so each message still reads as written for them.

What if a placeholder is empty?

Give every placeholder a fallback. {city|your area} uses "your area" when the city field is empty, so the sentence still works.

Should a cold email template include a follow-up?

It can. A campaign in Riftjaw can have up to 5 follow-ups, each after a number of days you choose. Keep the follow-up as short as the first email, and set a company to Replied when it answers, so its follow-ups stop.

Do these templates guarantee replies?

No. They are examples of a structure. Replies depend on the segment, the reason to write and the timing; test on one batch and compare segments by replies. More in test a campaign with one batch.

What is Riftjaw?

Riftjaw is a B2B lead database you own: import the companies you collect, keep every record with its source, sort them into segments and reach them by email in small batches. Each account runs on its own private server with its own database.
